PROMOTER
CLEARANCE
- Before
discussing availability, promoters new to the complex must complete and return
a rental application, go to www.fresnoconventioncenter.com/venues/rentalapp.html
for printable application. The Convention Center Management will notify the
prospective Licensee in writing or by phone whether or not the application
has been approved. After preliminary approval of the Rental Application, a
financial statement may be required.
TENTATIVE
RESERVATIONS
- After
final approval of the Rental Application, the Center will tentatively reserve
dates for a reasonable length of time. Should another client request a date
tentatively held by you, you will be given 48 hours notice and must firm up
the reservation with a deposit and a signed License Agreement.
- The signed
contract and proper insurance must be submitted to the Convention Center at
least forty-five (45) days prior to the event.
REHEARSALS
- Rehearsals
are subject to the availability of the facility and subject to cancellation
upon 24 hours notice. Rehearsal occupancy, however, is not to be construed
as a rental of the facility and is merely regarded as a privilege. Rehearsals,
technical rehearsals, or other occupancy must be scheduled and approved by
the Convention Center Administration. Four hours of rehearsal time per performance
is allowed at no charge. Each additional hour will be charged at the current
hourly rate.
BUSINESS
LICENSES
- A City
of Fresno business license may be required if you, as the Licensee, are conducting
business at the Fresno Convention Center. A City of Fresno business license
may also be required of individual exhibitors for commercial or private events
if merchandise is being sold. Please contact the Convention Center Administration
Office for further details.
INSURANCE
- Each
licensee shall obtain at their own expense, and keep in force during the period
covered by the License Agreement, Public Liability and Property Damage Insurance.
The liability under such insurance shall be not less than: $1,000,000 combined
single limit for bodily injury/property damage; $1,000,000 aggregate products/completed
operations; $2,000,000 liquor legal liability.
- In the
policy or policies providing such insurance, the City of Fresno, its officers,
agents, and employees must be named as additional insureds. The policy must
contain a standard cross-liability endorsement and shall provide that the
policy shall not be canceled prior to the termination of the License Agreement
or until the Manager shall receive a 10-day written notice of such cancellation.
Additionally, the certificate must include the specific dates of coverage
and the following statement: "All operations and / or activities conducted
on Convention Center facilities are summarily covered at all times during
any period of occupancy."
- A copy
of the Certificate of Insurance and a separate endorsement naming the City
of Fresno, its officers, agents and employees as additional insureds must
be delivered to the Manager before the agreement for the use of the facilities
can be executed.
- Broadcasting
(TV, Radio, video taping, etc.) is also subject to a permit fee and requires
a certificate of insurance. These permits must be obtained IN ADVANCE from
Convention Center Administration.
MOVE-IN
ALLOWANCE
- Four
hours before each event are allowed for move-in time at no charge. Guaranteed
additional move-in time will be charged at full base rent in accordance with
current rental rates. Adjustments may be made for events based upon the amount
of space rented, the number of exhibits, and if decorator or electrical decorator
services are required. Additional move-in time may also be allowed at no charge
if it is determined by the Manager to be essential to the success of the event.
- Floor
plans must be submitted to the Event Coordinator for approval at least two
(2) weeks prior to the contracted move-in date.
- The Convention
Center does not accept freight shipments prior to the contracted move-in date.
When applicable, freight shipments should be consigned through the service
contractor or shipping company.
- Vehicles
are not allowed on the mallways or sidewalks. Load-ins and load-outs must
occur from the dock / ramp area.
- Nailing,
stapling, tacking, or gluing items to Convention Center walls or doors is
prohibited. Convention Center approved tape, string, rope, etc. is allowed.

- All props,
banners, and decorations must be fire resistant. Candles must be pre-approved
by the City of Fresno Fire Department. For additional information contact
the City of Fresno Fire Prevention Bureau at (559) 498-1023.
- Banners,
signs, decorations, etc., may only be hung in designated areas. Contact your
Event Coordinator for further details.
- Licensee
and/or service contractors are responsible for the removal of tape residue
on the floor and tables. Stapling into Convention Center equipment is not
allowed. The licensee will be charged for any damages or clean up that is
required.
- Keys
will be charged at $100.00 each if not returned.
EQUIPMENT
& PERSONNEL
- All personnel
or equipment requested by the Licensee or required by the Convention Center
Administration will be provided at an additional charge to the extent of availability.
Fees for personnel and equipment available from the Convention Center Administration
upon request are subject to change without notice.
- The Convention
Center has an exclusive contract with Contemporary Services Corporation to
provide security and other event staff. These personnel will be billed separately
from other Convention Center charges. A minimum of one security guard is required
for all events. The total number to be determined by the Convention Center.

- The Convention
Center has a limited supply of audio visual equipment available for rental.

TELEPHONE
/ UTILITIES SERVICE
- Telephone
service is available through the Convention Center staff for both data and
voice transmission with local and long-distance service. Phones must be provided
by the Licensee.
- Water
service will be provided upon request.
- Exhibitor
electrical and phone service fees are due in ADVANCE of the show date or a
late order rate will apply. Service may be denied if payment is not received
prior to installation.
RESTORATION
FEE
- All Licensees
are assessed a Restoration Fee which goes into a designated fund for the restoration
of the facilities. This fee is charged at $1.00 per attendee or $0.75 x 80%
of the manifested capacity of the event.
MISCELLANEOUS
SALES
- In order
to sell novelties, printed matter, records, photographs, etc. at any event,
a vendor must contact the in-house concessionaire, Volume Services, at (559)
233-2878. A permit may be required to sell any merchandise.
CONCESSIONS
- Permits
are required for the use of outside services on the Fresno Convention Center
premises including: catering, decorating, electrical decorating, and broadcasting.
If you anticipate using any or all of these services for your event, please
contact the Convention Center Administration Office to obtain the required
permit.
- Volume
Services of America (V.S.) is contracted to provide food and beverage service,
therefore, outside food and beverage is not allowed into the facility. Food
samples are only allowed to be given away and are subject to V.S.'s approval.

CATERING
/ ALCOHOL SERVICE
- Catering
service may be provided by a caterer of the Licensee's choice, provided the
caterer meets the Convention Center's requirements. Only those caterers with
an approved license and insurance are allowed to serve food and beverage at
the Convention Center. Caterers are responsible for contacting the Convention
Center sixty (60) days prior to the event to obtain the necessary permits..
- Alcohol
service for banquets or similar events may be provided by the Convention Center's
in-house concessionaire or by a licensed liquor caterer of the Licensee's
choice. Please contact the Convention Center Administration about catering
requirements for alcohol.
TICKET
SALES
- Ticket
sales and advertising are not permitted to commence until the License Agreement
has been executed. The required deposit(s) and evidence of adequate insurance
must be received before the Manager will execute the License Agreement.

Convention Center parking rate is $ 6.00 for single admission parking. $ 2.50
for Senior Citizens (65 and up).

ordinance does not allow overnight R.V. parking on the premises of the Convention
